PF Claim Stuck on "Under Process" for 30+ Days?

If you're reading this, your EPF claim has been sitting on "Under Process" for weeks, the unifiedportal-mem.epfindia.gov.in dashboard hasn't budged, the 1800 helpline keeps saying "please wait, sir", and you're starting to wonder if the money is actually coming. This is genuinely infuriating — especially when it's your own money, you've done everything right, and the system just sits there.

I've walked through this with four friends now. The most recent: a colleague who submitted Form 19 for full withdrawal on March 1, 2026. Two months later — still "Under Process". We escalated on May 4. Money in his account on May 11. Seven days, after sixty days of nothing.

This guide is the exact path that worked. It's structured around diagnosis first — because the right escalation depends on which stage your file is stuck at. Skip the diagnostic and you'll escalate to the wrong office and lose another week.

First — Figure Out Which Scenario You're In

"Under Process" is a useless label. It can mean five completely different things, each with a different fix. Open unifiedportal-mem.epfindia.gov.in → Online Services → Track Claim Status. Look at the most recent stage entry — that's the one you care about. Then find your scenario below.

Scenario A

Stuck at 'Member Portal' / 'Claim Submitted' for 20+ days

What's happening: This almost always means an employer KYC mismatch. Either your exit date hasn't been updated by your previous employer, your name on PAN/Aadhaar doesn't match what HR uploaded, or the IFSC of your bank changed after a merger and the old one is still on file.

Fix: Log into unifiedportal-mem.epfindia.gov.in → View → Service History. If your exit date is blank, your employer never filed your DOE. Email HR with subject: 'Date of Exit pending — UAN [your UAN]'. Most HR teams clear this within a week once they get a direct ping. If it's a KYC mismatch, the rejection reason shows up under Online Services → Track Claim Status — even before it formally rejects.

Scenario B

Stuck at 'Field Officer Approval' / 'Under Process at Field Office' > 30 days

What's happening: This is a pure EPFO backlog problem. Field offices like Bandra-Kurla, Bengaluru-Whitefield, and Gurugram routinely sit on 15,000+ pending claims. Your file is in a queue, and the queue moves when someone shouts.

Fix: Stop waiting. This is the stage where escalation actually works — the file exists, the claim is valid, it just needs human attention. Skip straight to the EPFiGMS grievance below.

Scenario C

Stuck at 'Approved' but money not credited

What's happening: Bank-side issue. NEFT failed because the IFSC changed (very common after PSU bank mergers — Corporation Bank into Union, Vijaya into Bank of Baroda, etc.) or the bank account was dormant.

Fix: Check passbook on epfindia.gov.in. If you see a debit on EPFO side but no credit on bank side, raise a grievance with subject 'Claim approved but NEFT failed' and attach a bank statement showing no credit. They'll re-initiate within 7 days.

Scenario D

'Rejected' with no reason or a cryptic code

What's happening: Most common rejection reasons in 2026: 'Member details not matching with EPFO records', 'Aadhaar verification failed', 'Service less than 6 months — apply Form 19 only'. These look mysterious but each maps to a fixable issue.

Fix: Track Claim Status will usually show a one-line reason. If it doesn't, raise an EPFiGMS grievance asking for the rejection reason in writing. They're legally required to provide it. Once you know the cause, fix it and re-submit — it'll be a fresh claim, not a continuation.

Scenario E

'Under Process' for 60+ days with no movement at any stage

What's happening: This is the worst category — usually a stuck file at a specific desk officer, or a system flag that requires manual override. Sometimes a partial KYC issue the system can't auto-resolve.

Fix: Multi-channel escalation. EPFiGMS + RPFC email + Twitter, all within the same week. Public visibility on Twitter is what moves the needle in these cases. I've seen 90-day-old claims clear in 48 hours after a tweet to @socialepfo with the claim ID.

What to Do Right Now (Today, Before Anything Else)

One step. File a grievance on epfigms.gov.in. This is EPFO's official grievance portal and the only channel that creates an accountability trail. Pick 'PF Member' → enter your UAN → category 'Claim' → sub-category 'Settlement delay'. In the description, include three things and nothing else: your claim reference number, the date of submission, and the current stage from Track Claim Status. Don't write paragraphs. Officers read hundreds of these a day; they reward terse.

You'll get a registration number immediately. Save it. The SLA for response is 30 days but in practice most grievances get a response or movement within 7–10 days. If yours doesn't, that's when you escalate further.

If the Grievance Doesn't Work — The Escalation Ladder

About 60% of stuck claims clear at step 1. The remaining 40% need pressure from another direction. Move through these in order, leaving 4–5 days between each so you're not spamming the same office through three channels at once.

STEP 2 · DAY 8

Email the Regional PF Commissioner directly

Find your RPFC email at epfindia.gov.in → Contact Us → Regional Offices. The format is usually rpfc.[city]@epfindia.gov.in (e.g. rpfc.bangalore-i@epfindia.gov.in, rpfc.bkc@epfindia.gov.in). Subject line: "Settlement delay — UAN [number] — Grievance [registration number]". Body: 4 lines max — claim ID, submission date, current stage, grievance registration number. RPFCs are senior officers and most do read their mail.

STEP 3 · DAY 12

Tweet @socialepfo with your claim ID

Yes — this actually works, and it's not a gimmick. The EPFO social media cell in Delhi has backchannel access to every regional office. Public visibility creates internal pressure that internal channels don't. Keep the tweet professional: "@socialepfo Claim ID [X], UAN [Y], submitted [date], stuck on 'Under Process' for [N] days. Grievance [registration number] filed but no response. Requesting status update." Don't @-tag MPs, ministers, or PMO unless this also fails.

STEP 4 · DAY 20 · LAST RESORT

File an RTI under the RTI Act, 2005

Address to the Public Information Officer of the EPFO regional office handling your UAN. Cost: ₹10 by IPO or court fee stamp. Ask three specific questions: current status of claim ID [X], name and designation of the dealing officer, and reason for delay beyond the 20-working-day SLA. RTI creates a 30-day legal obligation to respond. It's rare for a claim to survive an RTI — files tend to clear before the response deadline because the officer knows the answer will be on record.

The Five Reasons Claims Actually Get Stuck

Worth knowing for next time — and worth checking proactively before you submit any future claim:

  1. Name mismatch in KYC. The most common one. PAN says "Sibin O", Aadhaar says "Sibin O Sasidharan", EPFO records say "Sibin". Even one missing initial fails verification.
  2. Exit date not updated by employer. The system literally cannot process a withdrawal claim if DOE is blank. HR has to file Form 5/10.
  3. Bank IFSC changed after a bank merger. Common with Vijaya, Corporation, Dena, Andhra, Allahabad post-merger. Update IFSC under Manage → KYC before claiming.
  4. Aadhaar not seeded or seeding failed. Check Profile → KYC. If Aadhaar status is anything other than "Verified", the claim will hang.
  5. Service period less than 6 months. Form 19 (PF withdrawal) is fine, but Form 10C (pension withdrawal) requires 6+ months. Filing both when you don't qualify for 10C causes the whole claim to stall.

My claim has been 'Under Process' for 45 days. Is that normal?

No. EPFO's own service standard is 20 working days from claim submission to settlement. Anything past 30 calendar days is genuinely overdue and you should be escalating, not waiting. The reason 'Under Process' drags on is that nobody at EPFO is automatically alerted when a claim crosses the SLA — the system just leaves it sitting. Your grievance is what triggers a human to look at it.

Does the Twitter escalation actually work, or is that just internet folklore?

It genuinely works, and it's not folklore. @socialepfo is run by the EPFO HQ social media cell in Delhi, and they have backchannel access to every regional office. When you tag them publicly with your claim ID, the cell forwards it to the relevant RPFC with a 'kindly look into this' note — which carries far more weight than a generic grievance. I've personally watched two friends get claims settled within 72 hours after tweeting. Don't be aggressive — be factual: claim ID, days pending, polite request for status.

Should I file an RTI or is that overkill?

Save the RTI for last. It's powerful — under the RTI Act, the local PF office is bound to respond within 30 days with the exact status, the officer handling your file, and the reason for delay. But it takes 30 days, costs ₹10, and creates an adversarial paper trail. Use it only if EPFiGMS and RPFC email have both failed after 15 days. When you do file, address it to the Public Information Officer of the regional EPFO office handling your UAN, and specifically ask: (1) current status of claim ID X, (2) name and designation of the officer responsible, (3) reason for delay beyond the 20-day SLA.

I left my employer 8 months ago. Why is the exit date still not on the portal?

Because most HR teams treat DOE updates as a low-priority task and only do them when nudged. EPFO can't mark your account as eligible for withdrawal until your employer files the DOE — there's no workaround for this from your side. The fastest path: email HR with the exact subject 'Date of Exit pending update — UAN [number]'. CC your old manager if you have a good relationship. If HR is unresponsive after two pings over two weeks, you can raise an EPFiGMS grievance against the employer directly — EPFO will then contact them officially, which usually gets it done.

What's the difference between EPFiGMS and the regular EPFO helpline?

The helpline (1800-118-005) is essentially a status-check service. They can tell you the current state of your claim, but they can't escalate or push anything. EPFiGMS (epfigms.gov.in) is the formal grievance portal — every grievance gets a registration number, a tracking ID, and is assigned to a specific officer who must respond within 30 days. If you want movement, EPFiGMS is the only official channel that creates accountability. The helpline is useful for the first 48 hours to confirm what's stuck; after that, switch to grievance.

My friend's claim got settled in 5 days and mine has been sitting for 50. Same company, similar amounts. Why?

Claim processing isn't really FIFO and isn't strictly automated. It depends on which field officer your file lands with, their current workload, and whether any flag (even a soft one) triggered manual review. Common soft flags: amount above ₹10 lakh, KYC updated within the last 90 days, multiple employer transitions in a year. None of these are problems — they just slow your file down because a human has to clear it. Your friend's file probably didn't trigger any flag and was auto-approved.

Can I withdraw my claim and re-submit to start fresh?

You can, but I'd advise against it unless the existing claim has been formally rejected. Withdrawing a pending claim and re-submitting sends your new file to the back of the same queue — you don't skip the line. The only time fresh submission helps is if you're correcting an error (wrong bank, wrong amount) — in that case, let the current one reject naturally, fix the issue, then submit again.

I don't know my RPFC's email. How do I find it?

Go to epfindia.gov.in → Contact Us → Regional Offices. Find your regional office (the one your employer was registered with, not necessarily where you live now), and the page lists the RPFC's official email — usually rpfc.[cityname]@epfindia.gov.in. For Bengaluru it's rpfc.bangalore-i@epfindia.gov.in or rpfc.bangalore-ii depending on which sub-office; for Mumbai it's split between BKC, Thane, and Vashi. What bothers me about all of this is that none of these escalation channels should be necessary. EPFO has the data, the workflow, and the SLA. The reason claims drag on isn't mystery — it's that nothing inside the system flags an overdue file to a human. Until that changes, your only lever is to flag it yourself, in writing, on the public record. The Twitter step exists because public visibility works where private patience doesn't.
